Advanced user guide: Adjusting PromptOS databases, views, and buttons

This page is a how‑to for advanced users. It explains how to adjust schemas, views, and button automations in PromptOS.

1) Database schema (properties)

• Add a property
  1. Open any database view → ••• → Edit properties → + Add property.
  2. Choose type: title, text, number, select, multi_select, status, date, person, relation, checkbox, url, email, phone_number, file, place, formula.
• Edit a property
  • ••• → Edit properties → click a property to rename, change type, or description.
  • For select, multi_select, and status: manage options, colors, and order.
• Relations
  • Add a Relation → pick the target data source → choose one‑way or two‑way.
  • Tip: Prefer one‑way unless you specifically need back‑links on the other data source.
• Place properties
  • Store address and geodata. You can paste an address and Notion expands it.
• Formulas
  • Use for computed fields across properties and related properties.
  • Keep business logic here rather than in views.

2) Views (Table, Board, Calendar, Gallery, List, Timeline, Chart, Map)

• Create a view
  1. Click the view dropdown → + New view → choose type.
  2. Name it and confirm.
• Filters
  • View options → Filter → Add filter. Use AND/OR groups for complex logic.
• Sorts
  • View options → Sort → Add sort rules. Multi‑column sorts are supported.
• Grouping
  • Table or Board → Group by a select, status, or person property. Toggle "Hide empty groups" if desired.
• Layout tips by type
  • Table: show key properties; freeze first column; resize columns.
  • Board: group by status; enable Sub‑groups or swimlanes via additional grouping.
  • Calendar: pick a date property; choose month or week; show page preview.
  • Timeline: pick a date or date‑range; set granularity (day, week, quarter).
  • Gallery: choose card size, cover, and displayed properties.
  • Chart: pick aggregation and visualization (bar, line, pie). Keep properties numeric or aggregatable.
  • Map: requires at least one place property.
• Saved view configuration
  • Everything in view options is saved per view and doesn’t change underlying data.
